Dictation in Notion on a Mac: voice to text in any page, with lists when you want them

To dictate into Notion on a Mac, click into the page where the words go, press your Dictation shortcut or the Microphone key, and talk. That is Apple Dictation, built into macOS and free, and Apple says it works anywhere you can type, Notion included. Notion's own voice features are built for other jobs: AI Meeting Notes transcribes meetings on the Business and Enterprise plans, and Notion AI takes spoken prompts.

YapToText, the free app I built, types into any Notion page at the cursor, keeps your voice on your Mac, and turns a ramble into headings and bullets when you ask. Steps

  1. Turn on Dictation in System Settings, Keyboard, Dictation.
  2. Open Notion and click into the page where you want the words.
  3. Press the Microphone key or your Dictation shortcut.
  4. Speak, then press Esc, the Microphone key or the shortcut when you are done.

What Notion does with your voice on its own

Notion has two voice features of its own, and neither one is dictation into a page. Notion's voice features are for meetings and for its AI; writing a page by voice needs a dictation tool.

  • AI Meeting Notes. It transcribes and summarizes meetings. Notion's help page says it needs the Business or Enterprise plan, or an eligible mobile subscription that includes Notion AI, and macOS 13 or later on a Mac. You type /meet into a page in the desktop app, select Start transcribing once the meeting has started, and select Stop at the end, when the summary starts generating; a summary needs at least one minute of audio. Notion asks for system audio and screen recording permissions so it can hear the other people on a call, and its help page says the audio is sent to Notion's sub-processors for transcription.
  • Uploaded recordings. The same help page describes Upload audio, from the settings icon at the top of a Meeting Notes block, for a recording made elsewhere, in AAC, M4A, MP3 or WAV. Notion transcribes it and writes a summary, as it does for a live meeting.
  • Voice input for Notion AI. Notion's April 6, 2026 release notes say voice input for Notion AI is on desktop, with a microphone button for dictating a prompt to its Agent. That is a request to Notion AI, not words typed into your page.

So for the everyday job, a meeting summary is Notion's, and the words of a page are yours to dictate. The guide to dictating into any app on a Mac compares Notion with Slack, Mail, Notes and the rest.

Use Apple Dictation in Notion

Apple Dictation is the free option already on your Mac, and Apple says it works anywhere you can type, so a Notion page works like any other text field, in the desktop app or in a browser. Click into the block where the words go, then press your Dictation shortcut.

Step 1: Turn Dictation on once

  • You: Choose Apple menu, System Settings, then click Keyboard in the sidebar; you may need to scroll down. Go to Dictation, turn it on, and click Enable.
  • macOS: May ask whether to share audio recordings to improve Siri and Dictation. Not Now is a fine answer.
  • Check: Dictation stays on. Note the keys in the Shortcut pop-up menu, because they are how you start it in Notion.

Step 2: Dictate into the page

  • You: Click into the page where the words go. Press the Microphone key if your keyboard has one, or your Dictation shortcut.
  • macOS: Highlights the cursor and makes it pulse, or plays a tone, when it is ready.
  • Check: Words appear as you speak. Press Esc, the Microphone key or the shortcut when you are done.

In supported languages Apple adds commas, periods and question marks as you go. Dictation stops by itself after 30 seconds without speech, so a long pause to think ends the session; the 30-second limit page explains why. Use YapToText in Notion, free and on device

YapToText is the free Mac app I built for dictating into every app, and a Notion page is one more place with a cursor. It runs Whisper on your Mac, types where you clicked and needs no account. It needs an Apple silicon Mac with macOS 14 or later, and it is free on the Mac App Store. Click into the page, tap, talk, tap, and the words land in Notion without leaving your Mac.

Step 1: Click where the words go

  • You: Click into the Notion page, in the block where the words should go.
  • YapToText: Nothing yet. It types into the app in front, never into its own window.
  • Check: The cursor is blinking in the page, not in Notion's search or sidebar.

Step 2: Tap Right Command and talk

  • You: Tap Right Command once and say what you want on the page.
  • YapToText: Opens the floating panel with your voice as a wave and your words as they form.
  • Check: The wave moves when you speak. If it stays flat, the app is not hearing your microphone yet.

Step 3: Tap it again

  • You: Tap Right Command again.
  • YapToText: Finishes the transcript on your Mac, pastes it at the cursor and puts back whatever you had copied before.
  • Check: The words are on the page, and the menu bar capybara's speech bubble flashes green when they land. If they went to the clipboard instead, Accessibility is not on yet; the fixes below cover it.

Three things carry over from every other app:

  • Your words, as spoken. Auto mode, on by default, gives Notion no lean, so ordinary prose gets a conservative pass that fixes what was misheard and rewrites nothing. It never turns speech into a list on its own.
  • No clock. There is no silence timeout by default, so you can stop and think as long as you need. Only a safety stop at 30 minutes ends a recording on its own.
  • Sentences that join up. Intelligent Insert reads the words around the cursor first, so a dictation dropped into the middle of a sentence starts lowercase and gets one space where words would collide. The Intelligent Insert guide explains how.

Get headings and bullets by voice

Notion pages are often lists, and YapToText leaves your words as prose unless you ask. Ask for structure out loud, and Auto mode does the formatting on your Mac.

as a bullet list

What happens: The phrase is not typed. Auto mode turns what you said into a bulleted list, the one way to get bullets from Auto without picking Note mode.

For more than a list, Note mode writes short headings and bullets, pulls action items into a list, and adds nothing you did not say. Three ways to use it:

  • For one dictation. While you talk, press Note's number key, 4 out of the box. With Auto on, the next dictation goes back to Auto.
  • By asking. End the dictation with "as a note", and Auto formats it as a tidy note.
  • For every dictation in Notion. Turn Auto mode off, open Note mode's editor on the Modes page, and add Notion under Apps that use this mode. While Auto is on, it decides how each dictation is written, so this takes over only with Auto off.

Let Notion make the block, then dictate into it

I have not tested how Notion turns a list that YapToText pastes into blocks, so read the result once. If you would rather Notion build the structure itself, use its own shortcuts and dictate into the block it makes. Notion's keyboard shortcuts page lists these:

  • A bulleted list. Type a hyphen, an asterisk or a plus sign, then a space, or type /bullet.
  • A heading. Type # and a space for a large heading, ## for a medium one and ### for a small one, or type /h1, /h2 or /h3.

Then tap Right Command and say one item. The modes guide shows how to rewrite Note mode's instructions in plain words, and the Auto mode guide lists every phrase Auto follows, from "make it concise" to "make that formal".

Turn a recording into a Notion page

A voice memo from a walk or a recording from your phone can become a Notion page without a meeting plan. YapToText transcribes a file on your Mac and can hand it back as a note, ready to insert.

Step 1: Pick the mode, then drop the file

  • You: On YapToText's Utility page, in the Transcribe a file card, pick Note in the mode menu, or Raw Transcription for every word exactly. Drop the audio or video file on the card, or click Choose File.
  • YapToText: Transcribes it on your Mac, then runs Note mode's cleanup on the result.
  • Check: The text appears in the card. A file with no speech in it says none was found.

Step 2: Put it in Notion

  • You: Click into the Notion page first, then come back to YapToText and click Insert, or click Copy and paste it yourself.
  • YapToText: Insert types the text into the app you were last using.
  • Check: The transcript is on the page. If it landed in the wrong app, click into Notion, come back and press Insert again.

The card takes any audio or video file macOS can decode, Voice Memos included, and gives plain text with no timestamps or speaker labels. Notion's Upload audio does a different job: it needs a Meeting Notes block, and Notion transcribes the recording and adds a summary. For a meeting with other people, Notion's tool records the whole call and writes the summary. For the words of your own page, a dictation tool is the faster route, and only one of these keeps your voice on your Mac by design. Pick Notion's for meetings, and dictation for writing.

If dictation is not working in Notion

The first fix is almost always where the cursor sits. Dictation types at the insertion point, so click into the page before you start. For Apple Dictation, climb this ladder, smallest step first:

  1. Click into the page. Click into a block on the page itself, not the sidebar or the search field.
  2. Turn Dictation on. In System Settings, Keyboard, make sure Dictation is on.
  3. Press the shortcut your Mac expects. The Shortcut pop-up menu under Dictation names the keys. Press and release the Microphone key; holding it calls Siri when Siri is on.
  4. Pick the microphone by name. Under Dictation, choose your microphone next to Microphone source instead of Automatic, then raise its input volume in System Settings, Sound, Input.
  5. Turn off Voice Control. When Voice Control is on, standard Dictation is not available, and you dictate through Voice Control instead.
  6. Check the connection. Apple says you may need an internet connection, and the text below Dictation in Keyboard settings says whether yours does.

If YapToText's words do not land in Notion

Another short ladder, smallest step first:

  1. If the words go to the clipboard. On YapToText's Home page, press Grant next to Accessibility and switch the app on in System Settings, Privacy & Security, Accessibility. Without it, every dictation is copied to the clipboard instead of typed. Press Command V and nothing is lost.
  2. If the words come out changed. Auto mode's careful pass fixes words it thinks were misheard. For exactly what you said, press Raw Transcription's number key while you talk.
  3. If a name keeps coming out wrong. Add it on the Dictionaries page, with what Whisper heard under Heard and your spelling under Replace with. The dictionaries guide shows how.
  4. If Notion beeps. Intelligent Insert reads the text around your cursor with a few invisible keystrokes, and some apps answer one with the alert sound. With Notion open, go to the Dictation page, choose Turn off in another app in the Delivery card and pick Notion, or lower Alert volume in System Settings, Sound, which silences only alert beeps.
  5. If pasting misbehaves. With Notion open, choose Add App Override under Per-app method in Settings, Advanced, pick Notion and keep Type character-by-character.

What each one cannot do

  • Apple Dictation. It stops after 30 seconds of silence, it is not available while Voice Control is on, and whether your voice leaves the Mac depends on what Keyboard settings says.
  • Notion AI Meeting Notes. It is built for meetings, not for writing a page as you talk, it needs the Business or Enterprise plan or an eligible mobile subscription with Notion AI, and the audio goes to Notion's sub-processors.
  • YapToText. It types text: it does not record a meeting, label speakers or write a summary of a call. Its spoken commands are punctuation, emoji and snippets, so turning a block into a toggle or a database is still Notion's job. Note mode and Auto mode's formatting need a cleanup model, which the App Store build includes and the Homebrew build leaves for you to download. It needs an Apple silicon Mac with macOS 14 or later, and nothing is claimed for Intel Macs.

The short version

  • Built in. Click into the page and press your Dictation shortcut, for pauses under 30 seconds.
  • Notion's own. AI Meeting Notes transcribes and summarizes meetings on the Business and Enterprise plans.
  • On device. YapToText: tap Right Command, talk, tap again, and end with "as a bullet list" when you want one.
  • Recordings. Drop the file on the Transcribe a file card, pick Note, and insert it into the page.

Can you dictate in Notion on a Mac?

Yes. Apple Dictation types into a Notion page like anywhere else you can type, and free apps such as YapToText type at the cursor in Notion too. Notion's own AI Meeting Notes transcribes meetings rather than typing a page as you talk.

Does Notion have voice to text?
