Dictate into any app on your Mac, from Slack to Notion

You can dictate into any app on your Mac, from Pages and Mail to Slack and Notion. Apple Dictation, built into macOS, works anywhere you can type, Apple says, and YapToText, the free app I built, types at your cursor in any app and keeps your voice on your Mac. Some apps also have a voice feature of their own, and they differ more than you might expect: Notes can transcribe a recording, while Messages and Slack can send your voice as audio instead of text.

This page goes app by app first, then sets up one key that types in all of them. My hands make typing difficult, so every app I use has to take dictation, and these are the differences that matter.

Steps

  1. Turn on Dictation in System Settings, Keyboard, Dictation.
  2. Click where you want the text in any app.
  3. Press the Microphone key or your Dictation shortcut, or choose Edit, Start Dictation.
  4. Speak, then press Esc, the Microphone key or the shortcut when you are done.

Word and Google Docs have their own pages: dictation in Word on a Mac and dictation in Google Docs on a Mac. An app's own voice feature stays inside that app; a dictation tool works in all of them.

Pages and Mail

Apple's Pages guide starts dictation from Edit, Start Dictation, and you click Done below the microphone when you finish. Mail takes Apple Dictation like any other place you type. Either way, Apple Dictation stops by itself after 30 seconds without speech, which matters in a long email. Notes

Notes can record audio into a note and show a live transcript, which you can add to the note or copy. Apple says transcription needs a Mac with M1 or later and a device language from its list: English, Spanish, Portuguese, Italian, French, German, Japanese, Korean, and Simplified and Traditional Chinese. That suits a lecture or a meeting. For writing the note itself, dictation types straight into it. The guide to speech to text in Notes covers both, step by step.

Messages

Apple's Messages guide says you can dictate text into the message field, or click the Record Audio button to send an audio message instead. An audio message disappears from the conversation 2 minutes after you send it, unless you click Keep, though the recipient can still play it. Slack

Slack can record your voice as a clip: click the microphone icon in the message field, record, and send it as audio. Slack's help center says clips run up to five minutes, on all plans, and that you can add a transcript with the Generate transcript icon. A clip arrives as audio, with a transcript only if you generate one. The guide to dictating in Slack on a Mac covers threads, the Enter key setting and sending by voice.

Notion

Notion's AI Meeting Notes transcribes and summarizes meetings. Notion's help page says it needs the Business or Enterprise plan, or an eligible mobile subscription that includes Notion AI, and macOS 13 or later on a Mac, and that the audio is sent to Notion's sub-processors for transcription. It is built for meetings rather than for writing a page as you talk. The guide to dictation in Notion on a Mac covers writing pages by voice, lists and headings included.

A guide for each app

Each of these pages covers one app: what its own dictation can do, how YapToText types into it, and the one setting that matters there.

Type into any of them with one key

YapToText works the same way in every app: it puts the words where your cursor is. One key works in every app, and your voice stays on your Mac.

Step 1: Turn on Accessibility, once

  • You: On YapToText's Home page, in the Get set up card, press Grant next to Accessibility.
  • macOS: Opens System Settings, Privacy & Security, Accessibility. An app cannot switch this on for itself.
  • Check: The switch next to YapToText is on, and with Microphone already allowed, the Get set up card leaves the Home page. If it will not stay on, press Show in Finder and drag the app into the list.

Step 2: Click where the words go

  • You: Click into the email, the note, the Slack box or the Notion page.
  • YapToText: Nothing yet. It types into the app in front, never into its own window.
  • Check: The cursor is blinking where you want the words.

Step 3: Tap Right Command, talk, tap again

  • You: Tap Right Command, say what you want to write, and tap it again.
  • YapToText: Transcribes on your Mac, pastes at your cursor and puts back whatever you had copied before.
  • Check: The words are in the app, and the menu bar capybara's speech bubble flashes green when they land.

Give each app the right cleanup

Auto mode, on by default, uses the app in front as one of its clues:

  • Mail apps. Mail, Outlook, Spark, Airmail and Superhuman lean Email: a body with no Subject line, signed with your name if you gave the app one.
  • Chat apps. Messages, Discord, Slack, WhatsApp, Telegram, Messenger and Teams lean toward a casual message, which Auto keeps exactly as spoken.
  • Code editors and terminals. Xcode, VS Code, Cursor, JetBrains IDEs, Sublime Text, Zed, iTerm2, Terminal, Hyper and WezTerm lean Code Comment. For prompts to coding agents, see voice coding with AI agents.
  • Everything else. Notes apps, Pages, Notion and the rest get no lean, so your words stay as you said them, apart from a conservative pass that fixes what was misheard.

The app only breaks ties: what you said comes first. A letter with a greeting and a sign-off becomes an email anywhere, and a short casual line stays as spoken even in Mail. To fix one mode to an app, open the mode's editor and add the app under Apps that use this mode; the Per-app modes card in Settings, Advanced edits the same list. To reply to something, select the message you are answering before you start, and your dictation is written to fit. The app nudges Auto mode; what you said decides. Send a chat message the moment it lands

In a chat app, the last step after dictating is pressing Return. YapToText can press it for you, per app: in Settings, Advanced, under After a dictation lands, choose Add App, pick Slack or Messages, and leave it on Press Return, or choose the Command Return option for the few apps that send with that.

It presses the key without a second look, so anything Whisper misheard goes out too. I would leave it off in any chat where a wrong word would hurt. Automatic sending saves a key press, not a mistake.

If the words do not land

Climb this ladder, smallest step first:

  1. Click into the app first. YapToText never types into its own window, so a dictation started there goes to the clipboard.
  2. Turn on Accessibility. Without it, every dictation is copied to the clipboard instead of typed. Step 1 above has the switch.
  3. Check Insert text automatically. It sits on the Dictation page, in the Delivery card, and it is on by default. Off, every dictation goes to the clipboard.
  4. Stop a beep. If an app plays the alert sound when the words land, that is Intelligent Insert reading the text around your cursor with a few invisible keystrokes. In the same Delivery card, choose Turn off in another app and pick that app. Terminals are on that list already.
  5. Pin a method. If an app rejects pasted text, open Settings, Advanced, choose Add App Override under Per-app method, pick the app and keep Type character-by-character.

What it cannot do

  • App features. YapToText types text. It does not record a Slack clip, attach audio to a note or record a meeting the way Notion's AI Meeting Notes does, and it does not label speakers.
  • Formatting. Its spoken commands are punctuation, emoji and snippets, so bold and headings come from the app itself.
  • Older Macs. It needs Apple silicon and macOS 14 or later, and nothing is claimed for Intel Macs.

The short version

  • Built in. Apple Dictation works in every one of these apps, with pauses under 30 seconds.
  • Each app's own. Notes records with a transcript, Messages and Slack send audio, and Notion transcribes meetings on its Business and Enterprise plans.
  • One key everywhere. YapToText types at your cursor in all of them, on device, and shapes the text to the app.

How do I dictate in Pages on a Mac?

Click where you want the text, then choose Edit, Start Dictation, or press your Dictation shortcut, and speak. Apple's Pages guide says to click Done below the microphone when you finish. YapToText types into Pages too: tap Right Command, talk, and tap it again.

How do I dictate an email on a Mac?

Click into the message body in Mail and start Apple Dictation with your shortcut, or tap Right Command with YapToText. With Auto mode on, YapToText leans toward an email body in Mail, never adds a Subject line, and signs with your name if you gave the app one.

Can you dictate in Slack on a Mac?

Yes. Apple Dictation and YapToText both type into Slack's message box. Slack itself records audio clips of up to five minutes, with a transcript if you generate one.

Can I dictate in Notion on a Mac?

Yes, with Apple Dictation or a dictation app such as YapToText, which type wherever your cursor is. Notion's own AI Meeting Notes transcribes meetings, on the Business and Enterprise plans.
