superwhisper Enterprise: how the company license works, how to sign in, and what your admin sees
By Ryleigh Newman · Published
superwhisper Enterprise is the team version: one organization, one dashboard and one bill, with sign-in through SAML single sign-on, Google or an emailed magic link. If your company bought it, you need no license key. Install the app, choose Use my company license on first launch, and sign in with your work email. superwhisper says your admin never sees your transcripts or hears your audio.
I built YapToText, a dictation app for the Mac, so read what I say about superwhisper with that in mind. Every fact about superwhisper here comes from its own documentation, read on October 11, 2026.
This app is completely free. You don't have to make an account. There are no subscriptions, no difficult downloads, and nothing is locked. Made for Apple silicon Macs. Source on GitHub.

Activate a company license
- Get your invite. Your admin sends an email invite or a join link. If IT provisions accounts through your identity provider, you may get no invite at all.
- Install superwhisper for macOS or Windows. IT may already have installed it.
- On first launch choose Use my company license.
- Sign in the way your company set up: single sign-on, Google, or a magic link sent to your work email.
Afterward the license screen reads Managed by, followed by your company's name. To check whether you already have access, the docs say to sign in with your work email at superwhisper.com/enterprise/login, where you can also download the app.
What your admin controls, and what stays yours
From superwhisper's Enterprise activation page, read October 11, 2026.
| Your admin sets | You keep |
|---|---|
| Which AI models you can use: superwhisper's cloud models, company-approved providers, or local models only | Your modes |
| Whether system audio recording and speaker separation are available | Your vocabulary |
| How long recordings stay on your device before the app deletes them | Your shortcuts and history |
The company's settings arrive each time you launch the app.
What your admin can see
superwhisper's docs say an admin never sees your transcripts or hears your audio. If the company turns on usage analytics, which is off by default, the admin sees metadata only: how many dictations you make, which modes and models you use, and recording durations. It never includes content.
For the person setting it up
- Create the organization at superwhisper.com/enterprise/signup and pick an authentication method: SAML SSO, Google OAuth or Magic Link. Only one can be active at a time.
- Configure SAML if you chose it. The docs list Google Workspace, Okta, Microsoft Entra ID and any other SAML 2.0 provider.
- Set up billing and buy seats.
- Invite members.
- Configure models and organization-wide policies.
It can be rolled out silently through Jamf, Intune or another MDM and activated through SSO. Mac users still grant microphone access themselves on first use. If you already have an individual Pro license, the docs say you do not need to cancel it: create the organization with your work email, a different one from the individual plan.
If you leave the company
When your seat is removed, superwhisper falls back to the Free tier at your next launch. Your local history, modes and vocabulary stay on your device, and you can buy an individual plan to carry on. The superwhisper pricing page has those plans, and the license page covers individual keys.
Where YapToText stands for a team
Nowhere, and I would rather say so plainly. YapToText is one person's free app for Apple silicon Macs. It has no organization, no single sign-on, no seat billing, no admin policies and no usage dashboard. What it offers a cautious team is the opposite approach: nothing to administer, because speech and cleanup stay on each Mac and there is no account. If your organization needs central control or a signed agreement, superwhisper Enterprise is built for that and YapToText is not. superwhisper and HIPAA and superwhisper privacy cover its data statements.
This app is completely free. You don't have to make an account. There are no subscriptions, no difficult downloads, and nothing is locked. Made for Apple silicon Macs. Source on GitHub.
The short version
- Member. Use my company license, then your work email. No key.
- Check access. superwhisper.com/enterprise/login.
- Admin sees. No transcripts or audio. Metadata only if analytics is turned on.
- Admin sets. Allowed models, system audio, recording retention.
- Leaving. Back to the Free tier, with your local data kept.
If superwhisper changes its Enterprise plan, open an issue on GitHub and I will update this page. Every one gets read.
