Wispr Flow's Notetaker: how it records meetings, and where the recordings go

Notetaker is the meeting recorder inside Wispr Flow. On a Mac running macOS 13 or later, or on Windows, it records a meeting, shows a live transcript, and writes a summary afterward. Its help center is plain about storage: meeting transcripts and summaries are stored in Wispr's cloud, and there is no setting to opt out of that storage. Audio uploaded to Wispr is kept for 7 days and then deleted.

I built YapToText, a dictation app for the Mac that is not a meeting recorder, so I have less of a stake here than on the dictation pages. Every fact about Notetaker comes from Wispr Flow's help center, read on October 10, 2026. It is marked beta there.

What Notetaker does

  • Records the meeting. Your microphone captures you, and system audio captures the other participants.
  • Shows a live transcript. In a notepad where you can also type your own notes.
  • Writes a summary. After the meeting ends.
  • Detects calls. Automatically detect any call is on by default and asks to start a note when you join one. Start Notetaker automatically is off by default.
  • Works with a calendar. Optional. It can remind you before scheduled meetings.
  • Exports. Copy to Markdown copies the notes, summary, participants, transcript and speaker labels.

Only one meeting records at a time. The default maximum recording length is 2 hours, and you can choose 30 minutes, 1 hour, 2 hours or 3 hours.

Set it up on a Mac

  1. Finish Wispr Flow's onboarding. Notetaker is available even if you chose dictation there.
  2. Open Notetaker and click Turn on for each permission it asks for: the microphone, and system audio.
  3. Allow each in the macOS dialog, or follow Open Settings.
  4. Click New note to record an in-person or unscheduled meeting.

Setup ends with All set. An unsupported Mac shows System audio not available instead. Windows has no separate system audio permission.

Ask before you record

Wispr's help center says to ask participants for consent before recording. Organizations can require a confirmation step, Obtain consent to start Notetaker, before any recording starts. Recording laws differ by place, and some require everyone's agreement. Tell people you are recording, every time.

Where the meeting goes

From Wispr Flow's help center, read October 10, 2026.

Turning off model training does not stop the cloud processing or storage Notetaker needs. To shorten how long transcripts are kept, open Settings, Data and Privacy, Notetaker transcript retention. Shortening it permanently deletes older transcripts within 24 hours, so copy anything you need to Markdown first.

What it costs

Notetaker comes with Wispr Flow's plans. The free plan includes limited Notetaker access, and its help center says Pro, Growth and Enterprise can record up to 150 meetings a week. The Wispr Flow pricing page has every plan, and the free plan page covers the dictation word cap.

If the meeting should not leave your Mac

For a confidential meeting, cloud storage with no opt-out may rule Notetaker out. One option that keeps everything local: record the call with a recorder you trust, then transcribe the file on the Mac. YapToText transcribes an audio or video file with a model that runs on the Mac, free, so the recording is never uploaded. It gives you one continuous transcript. It does not join calls, label speakers, or write a summary by itself.

The guide to transcribing a Zoom recording walks through it, and the Granola vs Wispr Flow page compares Notetaker with a dedicated meeting notes app. The Wispr Flow privacy page covers the dictation side.
