Wispr Flow and audio files: it cannot transcribe them, and here is what can

Wispr Flow cannot transcribe an audio file. Its help center says so directly: Flow transcribes live speech from your microphone, and you cannot upload, attach or import an existing audio or video file on any platform or plan. That includes Voice Memos, meeting recordings, .mp3 and .m4a files, and recordings kept in cloud services.

YapToText, the app I make, does transcribe files, which is why I wrote this page. Read it with that in mind. The Wispr Flow facts are from its help center, read on October 9, 2026.

Steps

  1. Install YapToText from the Mac App Store.
  2. Open the Utility page and find the Transcribe a file card.
  3. Drop an audio or video file onto the card, or click Choose File.
  4. Click Copy, or Insert to type the text into the app you were last using.

What Wispr Flow captures instead

  • Live dictation. It listens to your microphone while you talk and types the text into the app in front.
  • Live meetings. On Mac and Windows, Notetaker records your microphone and the system audio during a meeting. Afterward Flow transcribes its own recording again for a refined transcript and a summary.
  • Not your recordings. The help center is specific that the second pass works on Flow's own recording, not on one you supply.

If the audio already exists as a file, Wispr Flow has no way in for it.

What it can import

Flow can import meeting transcripts that another tool already made. That is text, not audio.

  • From Otter. It accepts a bulk-export .zip, or its extracted folder, with .txt or .srt transcripts inside.
  • From Granola. It accepts a .csv, or a .zip that holds the export's CSV files.
  • Audio in an export. The help center says audio entries in exports are ignored, not transcribed.
  • Where it is. On Mac and Windows the importer is under Settings, Notetaker, Meeting import.

Free ways to transcribe a file on a Mac

  • YapToText. It is the app I make. Its Transcribe file feature turns a voice memo, or any audio or video file macOS can read, into text on the Mac. It is free, and the file is not uploaded.
  • MacWhisper. Its free version transcribes files with subtitle export, and Pro is a one-time price.
  • Voice Memos. On recent versions of macOS, Voice Memos can show a transcript of a recording. The guide to transcribing voice memos has the steps and the limits.

The guide to transcribing an audio file on a Mac for free walks through each one, and there are separate guides for Zoom recordings, interviews, lectures and video files.

Transcribe a file with YapToText

YapToText runs on an Apple silicon Mac with macOS 14 or later. The file is read and transcribed on your Mac, by the same speech model that handles dictation.

  1. Install YapToText from the Mac App Store. The speech model is inside the app.
  2. Open the Utility page. In the Transcribe a file card, pick Raw Transcription for the exact words, or another mode to clean them up.
  3. Give it the file. Drop an audio or video file onto the card, or click Choose File.
  4. Use the text. Click Copy, or Insert to type it into the app you were last using. Check names and numbers against the recording, because any speech model can mishear them.

I have not measured how long files of different lengths take on each Mac, so I will not quote a speed. The page on Whisper hallucinations explains the kind of mistake to look for in a long transcript.

Playing a recording into the microphone

People sometimes play a recording out loud and let a dictation app listen. It is a workaround, not a feature, and I would not rely on it. The speaker and the room add noise, any pause can end the dictation, and on Wispr Flow's free plan the words count against the weekly cap. A tool that reads the file directly gives a cleaner result.

The short version

  • Wispr Flow and files. It accepts none, on any platform or plan.
  • What it does take. It takes live speech, live meetings, and text transcripts exported from Otter or Granola.
  • Free on a Mac. YapToText and MacWhisper's free version both transcribe files on the Mac.

If something here no longer matches Wispr Flow's site, open an issue on GitHub and I will fix it. Every one gets read.
