Wispr Flow in Outlook: dictate emails, and get the text back when it does not land

Wispr Flow works in Outlook on Mac and Windows, in Outlook on the web in a desktop browser, and in the Outlook mobile apps. You dictate into the body or the subject line, and Flow pastes the result as one block. Most problems in Outlook come from focus: if the cursor moves before the paste, the text goes somewhere else or nowhere. Flow needs an internet connection the whole time.

I built YapToText, a different dictation app for the Mac, so read what I say about Wispr Flow with that in mind. Every fact about Wispr Flow here comes from its own help center, read on October 10, 2026.

On Mac and Windows

  1. Make sure Flow is running: look for its icon in the menu bar on a Mac or the system tray on Windows, since the Flow Bar can be hidden. On a Mac it also needs Accessibility permission.
  2. In Outlook, start a new email or a reply.
  3. Click in the body or the Subject field and check that you see the cursor.
  4. Hold the dictation shortcut, speak, and let go. It is Fn on a Mac and Control Windows on Windows.
  5. Wait for the text before you switch windows or edit.

A Mac keyboard without an Fn key can use Control Option, or Control Option Space for hands-free. For a long email, hands-free saves holding the key: Fn Space on a Mac, Control Windows Space on Windows, and the shortcut again to stop. Esc cancels instead of inserting.

One dictation stops at 20 minutes on desktop, with a warning at 19. Split a long email into several dictations.

On iPhone and Android

  • iPhone. Flow needs microphone access and Allow Full Access for its keyboard. In the email body, long-press the globe key and choose Wispr Flow, tap the dictation button, speak, and tap the checkmark. Keep the keyboard on screen until the text lands. In the To, CC and BCC fields Flow switches to your next keyboard, so dictate in the body.
  • Company iPhones. Some corporate Outlook policies block third-party keyboards. Where your company allows it, dictate to the clipboard with Flow and paste into Outlook.
  • Android. Tap the body so the keyboard appears, put the cursor at the end of any draft text, tap the Flow Bubble, speak, and tap Done. If Flow cannot insert, it copies the text, tells you, and keeps it in history.

When the text does not appear

From Wispr Flow's help article Dictate emails in Microsoft Outlook, read October 10, 2026. You can change both shortcuts in Settings, Shortcuts.

StepMacWindows
Paste the last dictation againCommand Control VShift Alt Z
Copy it instead, then paste it yourselfCommand Control CShift Alt X

Click the Outlook field first. Using Paste last transcript while Flow is still processing cancels that dictation, so wait. If Flow works in Notes or Notepad but not in Outlook, quit and reopen Outlook. If it fails everywhere, the page on Wispr Flow not pasting goes further.

On Windows, Flow leaves the dictation on the clipboard for about 3 seconds after inserting into classic or new Outlook, then puts back what you had copied. A paste in those seconds pastes the dictation again.

Getting a lost email back

  • Transcription failed. Flow saves the audio. The error notification's Retry transcribes again and pastes the result.
  • Unformatted text. That notification opens History and retries there, without pasting, so copy the text into Outlook yourself.
  • Too old. Retry needs saved audio from the last 14 days.
  • Free plan limit. Reaching your weekly word limit also stops dictation. The week resets Sunday at midnight Pacific time.

Fonts and formatting

Outlook decides the email's font and look, so use Outlook's toolbar for those. On desktop, Flow's formatted text takes on the font of the email around it. Flow's own formatting is set by its Styles, which the Styles page explains, including the email formatting it adds in mail apps.
